Refund & Cancellation Policy

This policy outlines the refund terms relating to Bossley Bears Volleyball Club memberships, sessions, and programs.

Because Bossley Bears is affiliated with Volleyball NSW, all participants must hold a valid Volleyball NSW membership for insurance purposes. Refunds relating to this membership component are governed by the Volleyball NSW Membership Refund Policy.


Part 1 — Volleyball NSW Membership Refund Policy

All participants registering with Bossley Bears Volleyball Club must purchase a Volleyball NSW membership, which provides insurance coverage and eligibility to participate in affiliated volleyball activities.

Refund requests relating to the Volleyball NSW membership component are governed by the official Volleyball NSW Membership Refund Policy.

1. Consumer Law

Volleyball NSW complies with the Australian Consumer Law. Nothing in this policy limits a member’s rights where a refund or remedy is required by law.


2. Change of Mind & Come and Try – 30 Day Period

Volleyball NSW offers a 30‑day change of mind refund period from the date of membership purchase, where eligibility criteria are met.

A change of mind refund may be approved where:

  • The request is made within 30 days of purchase, and
  • The membership has not been meaningfully used, and
  • The member has determined they will no longer participate in volleyball activities covered by the membership.

This may include situations where:

  • A participant attends a come and try session, decides the sport is not suitable, and requests a refund
  • A participant purchases a membership, attends briefly or not at all, and shortly after realises they are unable to continue playing due to personal circumstances
  • A first‑time participant registers with the intention to play but decides not to proceed before meaningful participation occurs

Where approved, refunds will be issued in accordance with Section 6 of this policy.


3. Use of Membership & Ineligible Change of Mind Requests

A change of mind refund does not apply once a membership has been used for its intended participation or competition purpose.

This includes, but is not limited to:

  • Competing in a sanctioned competition or event
  • Registering for and participating in a Volleyball NSW‑affiliated league, tour or program
  • Using the membership to satisfy eligibility, registration or insurance requirements for competition

Example – Not Eligible:

A participant purchases a membership to compete in a Volleyball NSW Beach Volleyball Tour, participates in the event, and later requests a refund on the basis that they no longer wish to play. This does not constitute a change of mind refund, as the membership was purchased and used for full participation purposes.

Example – Eligible:
A participant purchases a membership, attends an initial session or none at all, and within a short period realises they are unable to continue playing and have not participated in competition or league activity. This may constitute a change of mind request and will be assessed accordingly.


4. Discretionary Refunds

Outside of consumer law requirements and the 30‑day change of mind period, all refunds are at the discretion of Volleyball NSW.

Discretionary refunds are assessed on a case‑by‑case basis and may take into account:

  • Timing of the request
  • Level of participation or usage
  • Administrative, insurance or affiliation costs already incurred

Discretionary refunds are generally not approved for:

  • Injury, illness or personal circumstances
  • Scheduling conflicts or availability
  • Failure to attend sessions or competitions
  • Decisions made by clubs, teams or competition organisers

5. Refund Requests

Refund requests must be submitted either in writing or via their club through the revolutioniseSPORT platform, and include:

  • Member name and membership number
  • Date of purchase
  • Reason for the request

Volleyball NSW may request additional information to assess eligibility.


6. Refund Processing

Where a refund is approved, it will be issued for the full amount paid by the member at the time of purchase.

This includes any amounts incorporated into the transaction price, regardless of any payment processing, platform or administrative fees incurred by Volleyball NSW.

Approved refunds will:

  • Be processed to the original payment method, where possible
  • Be issued within a reasonable timeframe following approval

Should there be any delay in the depositing of funds through the revolutioniseSPORT platform, individuals are encouraged to contact Volleyball NSW so the matter can be reviewed and resolved.


Part 2 — Bossley Bears Club Refund Policy

This section applies to Bossley Bears club memberships, training sessions, and programs, which are separate from the Volleyball NSW membership.

1. Bossley Bears Club Membership

Bossley Bears memberships cover club administration and participation eligibility within club activities.

Because memberships activate insurance and administrative registration:

  • Club memberships are generally non-refundable once used

  • Memberships are non-transferable


2. Training Sessions & Class Bookings

Training sessions and classes are scheduled in advance to organise courts, coaches, and equipment.

Cancellations

  • Cancellations made 24 hours or more before a session may receive a credit for a future session

  • Cancellations made within 24 hours are not eligible for refunds or credits

No Shows

Participants who fail to attend a session without notice will not receive a refund or credit.


3. Programs & Courses

For structured programs that run across multiple weeks:

  • Refund requests made before the program begins may be considered

  • Once the program has started, refunds will generally not be issued

In exceptional circumstances, the club may offer:

  • A partial credit, or

  • A pro-rata refund

at the discretion of Bossley Bears.


4. Session Cancellations by Bossley Bears

If a session is cancelled by Bossley Bears due to:

  • Venue closures

  • Weather conditions

  • Staff availability

  • Low attendance

Participants will receive either:

  • A session credit, or

  • The option to transfer to another session


5. Refund Processing

Approved refunds will be issued to the original payment method where possible.

Processing times may vary depending on the payment provider.
